Event Registration


1. Please reserve before the deadline indicated in the event description.
2. Due to the limited number of seats and the commitment of SpCCJ to expenses and resources necessary for the preparation of the events, it is stipulated that cancellations must be received no later than the registration date indicated in the event description in order to be valid.
3. Cancellations, which include reductions in the number of declared attendees, must be communicated in written form through email (info@spanishchamber.or.jp) and should preferably be sent from the address used for the registration in order to avoid any error.
4. Notifications of cancellation made by phone or in person are never considered valid and in no case will be accepted as an intention of cancellation.
5. When a cancellation is received according to the conditions expressed at points 1-3 above, the registrant may ask for a refund.
6. Cancellations penalties are equal to 15% of the paid amount by credit card.
7. No claim for refund or credit note will be accepted after the cancellation deadline, regardless of the actual attendance.

What personal data do we collect and why do we collect it?

The data that you communicate to us

For the subscription form to our newsletter, we ask for your email address so that we can send you our updates, activities information and other information as well as your name and last name. The other fields are not compulsory for the validation of the form, you are free not to fill them.

Regarding registration for an event, your last name, and first name allow us to draw up our registration list for the event. Your email allows us to communicate the various information relating to the event to you. For example your registration confirmation, reminders, a report of the event or even a satisfaction questionnaire. The name of your company and your position allow us to know more about your profile and why you are interested in our event. In addition, it is possible that certain events are only reserved for a specific category of people, or are addressed to a particular sector. A phone number is required for urgent communication as might be last-minute modifications or cancellations. Some of those fields are optional and you are therefore free not to inform them if you do not wish it.

All the online payments related to our events are handled by trusted third parties. We do not save any data on your credit/debit card or any other personal information related to the payment. The data we collect from your journey on our site

We collect data relating to your journey on our website, this data allows us to optimize our content and improve your user experience. The data recovered are all anonymous and global, we do not recover an IP address. They are obtained through cookies that are placed in your browser when you arrive on our site.

This data allows us to learn more about the journey of users on our site and allows us to improve our content and the quality of service that we can deliver to you. This data is completely anonymized, that is to say, we have no way of linking action on our site to a named person.

Sensitive data

We do not collect any so-called “sensitive” data. That is to say, data relating to racial or ethnic origin, political, philosophical or religious opinions, union membership, health or sexual orientation.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

SpCCJ Japan is committed to protecting and respecting your privacy, and we’ll only use your personal information to administer your account and to provide the products and services you requested from us. From time to time, we would like to contact you about our products and services, as well as other content that may be of interest to you. You can unsubscribe at any time by clicking the link in the footer of our emails.

The information provided through forms aimed to collect information from companies, surveys and market research is strictly confidential and will be used only for the purpose it has been collected. The Spanish Chamber of Commerce in Japan will never disclose any confidential information to a third party without the company’s consent.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

We do not sell or share your personal information with anybody.

How long we retain your data?

We will only retain your personal data for as long as necessary to fulfil the purposes of why we collected it. You can unsubscribe at any time from our communications by following the instructions at the bottom of the emails or addressing your query to info@spanishchamber.co.jp.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data?

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where is your personal data stored?

We use two American providers por processing your data (storage, segmentation and communication):

Hubspot platform is hosted by trusted third-party data centre providers in the US, and the data stored by HubSpot is stored in the US.

Mailchimp servers are located in the United States.

What are your rights ?

The right of access to portability?

You can obtain from us a summary of the personal data that we hold about you.

Please note that you will be asked to justify your identity in order to obtain this information and that in the event of a request for postal delivery, administrative costs will be your responsibility.

The right to rectification

You have the right to obtain the rectification of the personal data concerning you if those if are inaccurate. In addition, you have the right to have your incomplete personal data completed, by providing us with a supplementary declaration.

The right to be forgotten

You can request the deletion of your personal data at any time. Your request will be processed as soon as possible and your data will be deleted if the processing is not necessary in the following cases:

  • To comply with a legal obligation which requires the processing provided for by Union law or by the law of the Member State to which the controller is subject, or to perform a task of public interest or relating to the exercise the public authority vested in the controller;
  • The establishment, exercise or defence of legal claims.

Changes to our privacy policies

The Spanish Chamber of Commerce in Japan may update its confidentiality agreement periodically. In the event of a substantial change, a notification will be posted on our website, along with a link to our updated privacy policy.
